PAYMENT AND CANCELLATION POLICY
Registration and full payment of fees will be compulsory for attending any of the conference events. Your registration will not be processed until payment is received in full. If you are a presenter of an accepted contribution, your presentation could only be scheduled in the conference program if payment is received by August 16 for standard registration (July 15 for early registration).
We are organising a hybrid conference in highly uncertain times. In the unlikely event we have to change to a fully online conference, all participants who paid for on-site participation will receive access codes for online participation and will be refunded the difference between the on-site and the online fee applicable, including the gala dinner fee.
In the event of cancellation by participants, no refund will be given. However, the registration can be transferred to a colleague from the same institution free of charge before August 16. Please be in touch with us in such case. Please also note that cancelling your registration does not automatically cancel your hotel and travel arrangements. Attendees are responsible for cancelling their own hotel and travel reservations.
Online registrations can be upgraded to on-site registration at any time, paying the difference in the applicable fees. However, note that we may not be able to reschedule online participants who have a paper accepted to on-site presentation after August 16.
IMPORTANT COVID-19 UPDATE
The EPIP2021 organizing committee is concerned about the current health issues related to COVID-19 coronavirus disease and the attendee’s safety is our priority. The organising committee has ensured that the venue complies with all security requirements set by the authorities to prevent the spread of COVID-19.
Should conditions not allow the hybrid EPIP2021 Conference as expected, the conference contributions will be moved to a fully virtual format. In case of moving to a virtual conference, those participants who registered for on-site attendance will be offered to change from on-site to online participation. Participants will be able to present their contributions virtually, according to the virtual options offered by the conference. The difference between the applicable in-person and virtual registration fees will be refunded.
In accordance with the provisions of the General Data Protection Regulation (GDPR) [Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016], the interested party is informed that the personal data provided will become part of the European Policy for Intellectual Property (EPIP) Association members and events database whose sole purpose is the diffusion of information relevant to the association. The fact of registering implies active consent that the interested party agrees to the transfer of personal data. These will not be transferred to any entity and the rights of access, rectification, cancellation and opposition may be exercised by writing to: email@example.com
The organization of the conference may carry out video recordings of communications and presentations with promotional purposes, where images of people, the public or interventions in particular sessions may appear. You can exercise your rights of access, rectification, and cancellation by writing to firstname.lastname@example.org
To attend in person, health authorities require that we keep your data for 30 days. In the event of a positive COVID19, we should also share attendee information with the health authorities for tracking purposes. By joining the conference in-person, you therefore authorise EPIP2021 organizers to store your data for 30 days and to share it with the health authorities in case an attendee tests positive for COVID19.
INSURANCE AND LIABILITY
By registering for the Epip2021 Conference, participants agree that the organizers do not accept liability for any impediment or disruption of conference proceedings arising from political, social, health, travel, or economic events or any other unforeseen incidents beyond their control. The conference cancellation conditions shall apply in any case. Registration of a participant entails acceptance of the cancellation conditions.
All the participants choosing the in-person attendance at the EPIP2021 conference acknowledge the potential risks associated to be in contact with the covid-19 and its medical and personal consequences.
By providing the opportunity to join the conference virtually, the organizers disclaim any liability relating to insurance.
Participants are strongly advised to make their own arrangements concerning health and travel insurance.
